Woodland Glade is owned and shaped by its community, and the Board of Directors plays an important role in helping to guide the future of the Centre.

The Board of Directors is elected by the Woodland Glade community, from the Woodland Glade community. The Directors are members/owners who have agreed to give their time and experience to help shape the direction of the Centre on behalf of all members.

Shaping the Future of Woodland Glade

The Board’s role is about more than simply looking at what Woodland Glade needs today. It is about considering what the Centre needs for the future and making decisions that help ensure it continues to provide great value and a positive experience for members.

The Directors work to consider the long-term future of the Centre, including its facilities, services, finances and the overall experience of the Woodland Glade community.

Their aim is simple: to help make Woodland Glade a Centre that members can enjoy today and continue to benefit from for years to come.

Giving Their Time to the Community

The Directors give their own time to support Woodland Glade. They do this because they believe in the Centre and want to help protect and improve what is available to the community.

Being a Director is a responsibility. It involves making decisions, considering the needs of the wider membership and looking beyond the immediate priorities to ensure Woodland Glade remains sustainable and valuable in the long term.

Their work helps provide direction and oversight, while the day-to-day running of the Centre remains the responsibility of the Operations Team.

Working for All Members

The Board represents the wider Woodland Glade community. Its decisions are made with the future of the Centre and the interests of its members in mind.

That means looking at how Woodland Glade can continue to offer excellent facilities, remain good value and provide a Centre that the community can be proud of.

The Board will continue to work alongside the Operations Team and the wider Woodland Glade community to ensure the Centre remains a great place to exercise, relax, socialise and spend time with family and friends.

Behind every swim, gym session, game of football, evening at the bar or community event at Woodland Glade is a team of people working to keep the Centre running smoothly.

Our Operations Team is at the heart of the day-to-day running of Woodland Glade Sports and Leisure Centre. From welcoming members through the doors to maintaining the facilities, managing bookings and helping to ensure everyone has a safe and enjoyable experience, the team plays an essential role in the Woodland Glade community.

Here to Keep Woodland Glade Running

A sports and leisure centre does not run itself.

There are many things happening behind the scenes every day to ensure that members can enjoy the facilities. The Operations Team works across the Centre to keep everything organised, maintained and ready for use.

Their responsibilities can include:

• Opening and closing the Centre.
• Welcoming members and visitors.
• Managing reception and member enquiries.
• Dealing with bookings for facilities.
• Supporting the use of the gym, pool and sporting facilities.
• Monitoring the condition of facilities and reporting maintenance requirements.
• Supporting health and safety procedures.
• Managing access and membership cards.
• Supporting events and organised activities.
• Assisting with the members’ bar and lounge.
• Helping members understand the Centre’s rules and procedures.
• Working with contractors and other service providers when maintenance or repairs are required.

It is a varied role, and no two days are necessarily the same.

The First Point of Contact for Members

For many members, the Operations Team is the first point of contact when visiting Woodland Glade.

Whether you have a question about a booking, need assistance with your membership card, want to enquire about a class or simply need some help using one of the facilities, our team is here to assist.

Reception is an important part of the Centre because it connects members with the services and facilities available throughout Woodland Glade.

We encourage members to speak to the team if they are unsure about something rather than making assumptions. A quick conversation can often resolve a question before it becomes a problem.

Looking After the Facilities

Woodland Glade has a wide range of facilities, including the swimming pool, sauna and steam room, gym, squash court, 3G football pitch, multi-function court, bar and lounge.

Keeping these facilities available and ready for members requires regular attention.

The Operations Team helps monitor the condition and presentation of the Centre and identifies issues that need attention. Where a repair, maintenance job or specialist intervention is required, the team helps ensure that the appropriate action is taken.

Sometimes this may mean that a facility has to be temporarily closed.

While we appreciate that an unexpected closure can be inconvenient, safety and proper maintenance must always come first. Our aim is to return facilities to normal operation as quickly as possible while ensuring that they are safe and fit for use.

Helping to Keep Everyone Safe

The Operations Team also has an important role in maintaining a safe environment for members, guests and staff.

Woodland Glade has specific rules covering the swimming pool, gym, sports courts, 3G pitch, sauna and steam room and other areas of the Centre.

Members are expected to follow these rules, as they are designed to help protect everyone using the facilities.

The team may therefore need to remind members or guests about Centre procedures, appropriate use of facilities or health and safety requirements.

These conversations are not about preventing members from enjoying Woodland Glade. They are about ensuring that everyone can enjoy the Centre safely and respectfully.

Supporting Our Members

We want Woodland Glade to be a place where members feel comfortable asking for help.

The Operations Team can assist with many of the everyday questions that arise, including:

“Can I book this facility?”

“How do I use my membership card?”

“Can I bring a guest?”

“What are the opening times?”

“Is there a charge for this class?”

“Can I hire the function room?”

“What are the rules for using the 3G pitch?”

If the team does not have the answer immediately, they can direct you to the appropriate person or information.

Supporting Woodland Glade Events

The social side of Woodland Glade is an important part of our community.

Throughout the year, the Centre may host organised activities, classes, social events and functions. The Operations Team helps support these events and ensure that the facilities are prepared and available.

From setting up spaces to assisting members and visitors during events, there is often a considerable amount of work taking place behind the scenes.

These events provide another opportunity for residents to come together, meet their neighbours and make the most of their membership.

Your Feedback Matters

The Operations Team is also an important link between the members and the wider management of Woodland Glade.

If you notice something that needs attention, have a suggestion for improving the Centre or experience a problem while using a facility, please let the team know.

Constructive feedback helps us identify issues and understand what matters to members.

Equally, we ask members to remember that the team is there to help. Treating staff with courtesy and respect makes for a better experience for everyone.

Our Membership Rules specifically ask members to respect staff and follow instructions given by the Manager.

A Team Effort

Running Woodland Glade successfully is a shared responsibility.

The Operations Team plays a central role, but the Centre works best when staff, members and the wider community work together.

Members can help by following the rules, treating the facilities with care, reporting problems promptly, respecting other users and supporting the people who work hard to keep Woodland Glade running.

Information for Tenants and Property Owners

Woodland Glade is a private sports and leisure centre serving the residents of the estate. Where a property is rented to a tenant, it is important that both the tenant and the property owner understand how access to the Centre works.

Access to Woodland Glade is not automatically transferred simply because someone moves into a property. Whether a tenant is entitled to use the Centre depends on the arrangements made by the property owner as part of the tenancy.

The following information explains what tenants and property owners need to do.

Information for Tenants

Moving into a Woodland Glade Property?

If you have recently moved into a property on the Woodland Glade estate as a tenant, there are a few important steps you must complete before you can use the Centre.

You Are Subject to the Same Rules

As a tenant with authorised access to Woodland Glade, you are required to comply with the same Membership Rules and Terms & Conditions that apply to other members and users of the Centre.

This includes the rules relating to the use of the swimming pool, gym, sports facilities, bar, guests, opening hours, health and safety and member conduct.

You should familiarise yourself with the current Woodland Glade Membership Rules before using the facilities.

Providing Your Tenancy Agreement

Before a membership card can be issued, tenants must visit the Centre and provide a physical or digital copy of their current tenancy agreement.

This document is required so that Woodland Glade can confirm the tenancy and establish the access arrangements that have been agreed for the property.

A copy of the tenancy agreement will be retained on record by the Centre.

If your tenancy agreement is subsequently renewed, extended or otherwise amended, you will need to provide an updated copy to Woodland Glade so that our records remain accurate.

No Tenancy Agreement — No Membership Card

A membership card will not be issued until the required tenancy documentation has been provided and the tenant’s entitlement to use the Centre has been confirmed.

This process is important for both the tenant and Woodland Glade. It ensures that access is only provided where the property rental agreement allows the tenant to use the Centre.

Does Your Tenancy Include Woodland Glade Access?

This is an important point for all tenants.

Access to Woodland Glade must be established through the agreement between you and the property owner.

If your landlord has included access to the Centre as part of your tenancy, you can apply for your membership card once the required documentation has been provided.

However, if your landlord’s tenancy agreement does not provide you with access to Woodland Glade, you are not entitled to use the Centre simply because you live in a property on the estate.

Tenants should therefore check their tenancy agreement carefully or speak directly with their landlord if they are unsure whether Woodland Glade membership is included.

Information for Property Owners Renting Their Property

If you are a property owner and are planning to rent your Woodland Glade property, there are important steps you must take before the tenancy begins.

Inform Woodland Glade Before Renting Your Property

Property owners intending to rent their property must inform the Board of Directors and the Centre in writing of their intention to rent the property.

Your written notification must clearly state what arrangements you are making regarding access to Woodland Glade.

There are two options available to the property owner.

Option One: Give Your Tenant Access

If you wish to include Woodland Glade access as part of the property rental, this must be clearly stated in the tenancy arrangements.

Where the right to use the Leisure Centre facilities is assigned to the tenant, the tenant will be able to apply for access in accordance with the Centre’s procedures and rules.

However, there is an important consequence for the property owner:

If you assign the right of use of the Woodland Glade facilities to your tenant, you cannot continue to use the Centre yourself for the duration of the tenancy.

The current Membership Rules specifically provide that where a member rents or leases their dwelling and assigns Leisure Centre facility use to the tenant, the member forfeits their own right of access for the duration of the tenancy.

This means the decision to offer Woodland Glade access to a tenant should be made carefully and clearly as part of the rental agreement.

Option Two: Retain Your Own Access

Alternatively, a property owner may choose to retain their own right to use Woodland Glade while renting their property.

If you choose this option, the tenant must be clearly informed as part of their tenancy agreement that access to Woodland Glade is not included and the Centre is off-limits to them.

The rental agreement should therefore make the position completely clear to avoid any misunderstanding between the landlord, tenant and Woodland Glade.

In simple terms:

Tenant receives Centre access → Owner gives up their Centre access for the tenancy.

Owner retains Centre access → Tenant does not receive Centre access.

What Happens When Your Tenant Leaves?

Property owners remain responsible for keeping Woodland Glade informed about changes to their tenancy arrangements.

When a tenant leaves the property, the property owner must notify Woodland Glade that the tenancy has ended.

This is particularly important because the Centre needs to ensure that membership cards and access permissions are cancelled or updated appropriately.

The responsibility for notifying Woodland Glade rests with the property owner.

Please do not assume that the Centre will automatically know when a tenant has moved out.

Keep Woodland Glade Updated

Property owners should inform the Centre promptly when:

• A new tenancy is due to begin.
• A tenancy is renewed or extended.
• A tenancy agreement is amended.
• A tenant leaves the property.
• Access to Woodland Glade is being transferred to or from a tenant.
• The property becomes vacant.

Keeping these records up to date helps protect the Centre and ensures that access is only provided to people who are currently entitled to use the facilities.

The Annual Service Fee Remains the Owner’s Responsibility

Renting your property does not remove the property owner’s responsibility for the annual service fee.

Whether you give your tenant access to Woodland Glade or retain your own access, the property owner remains responsible for the applicable annual fees associated with the property.

If a tenant leaves, the owner’s responsibility for the property’s fees does not simply end because the property is temporarily vacant.

Property owners should therefore ensure that all applicable fees remain up to date throughout periods when their property is occupied, between tenancies or otherwise vacant.

A Simple Process for Landlords

If you are planning to rent your Woodland Glade property, please follow these steps:

1. Notify Woodland Glade

Inform the Board of Directors and the Centre in writing that you intend to rent your property.

2. Decide Who Will Have Centre Access

Clearly state whether:

• The tenant will receive Woodland Glade access, in which case the owner’s own access is surrendered for the duration of the tenancy; or
• The owner will retain their Woodland Glade access, in which case the tenant must not be given access.

3. Make the Arrangement Clear in the Tenancy Agreement

The tenancy agreement should clearly state whether Woodland Glade access forms part of the tenancy.

4. Notify the Centre When the Tenant Moves In

This allows the Centre to update its records and deal with the tenant’s membership application.

5. Provide the Tenancy Agreement

The tenant must provide Woodland Glade with a physical or digital copy of their tenancy agreement before a membership card can be issued.

6. Tell Woodland Glade When the Tenant Leaves

As soon as the tenancy ends, notify the Centre so that access cards and membership records can be updated or cancelled.

Keeping Everything Clear and Fair

The purpose of these arrangements is straightforward: to ensure that Woodland Glade knows who is entitled to use the Centre at any given time.

Clear communication between property owners, tenants and Woodland Glade helps prevent misunderstandings and ensures that the facilities remain secure and available to those who are entitled to use them.

Woodland Glade Sports and Leisure Centre is a shared community facility, and our aim is to ensure that all members can enjoy the Centre’s facilities safely, fairly and respectfully.

With a wide range of facilities available to members, it is important that everyone understands the rules and conditions that apply to their use. Our Membership Rules and Terms & Conditions set out the arrangements that help keep Woodland Glade safe, enjoyable and welcoming for everyone.

The current rules were updated on 15 December 2025 and apply to members and, where relevant, their guests.

What Do the Terms and Conditions Cover?

The Membership Rules provide important information about how Woodland Glade operates and what members need to know when using the Centre.

They cover areas including:

• Membership and eligibility
• Opening times and availability of facilities
• Guest access and guest responsibilities
• Use of the swimming pool
• Gym access and induction requirements
• Squash and other sports facilities
• The 3G football pitch
• The multi-function court
• Early morning swimming access
• Sauna and steam room use
• Changing facilities
• Health and safety
• Member conduct
• Bar and alcohol regulations
• Bookings and applicable charges
• Responsibilities for members and their guests

The rules also explain that the Board of Directors may amend or add to the rules when necessary, with changes communicated to members through the appropriate channels.

Looking After Our Facilities

Our facilities are shared by the whole Woodland Glade community, so we ask every member to treat them with care and respect.

Members are expected to follow instructions from the Manager and staff, use facilities only for their intended purposes and show consideration to other users.

The rules also set out expectations around appropriate clothing and footwear, reporting accidents and hazards, and maintaining a safe environment for everyone.

Bringing Guests to Woodland Glade

Members can enjoy Woodland Glade with friends and family, subject to the guest rules.

Adult members can invite up to two adult guests and their children at any one time, with the appropriate guest fee and visitor registration requirements applying. Members are responsible for ensuring that their guests understand and follow the Centre’s rules.

There are additional arrangements for guests using the outdoor facilities, while bar-only guests have separate provisions. Members should therefore check the full terms and conditions before bringing guests to the Centre.

Safety Comes First

A number of the rules exist specifically to protect members and their guests.

For example, the swimming pool is unsupervised and has no lifeguard, and members are strongly advised not to swim alone. There are also specific rules covering children using the pool, maximum occupancy, appropriate behaviour and emergency equipment.

Similarly, gym users must meet the relevant requirements and complete an induction before using the gym. Members aged under 16 are not permitted to use the gym.

The terms and conditions also contain specific safety requirements for the sauna and steam room, including age restrictions and health-related precautions.

Rules for Specific Facilities

Each facility has its own requirements.

For example, bookings for the 3G pitch and multi-function court must be made through Reception, with specific rules covering session length, footwear, supervision, food and drink, and appropriate use of the facilities.

Taking a few minutes to read the relevant section before using a facility can help avoid confusion and ensure that everyone gets the best possible experience from Woodland Glade.

A Shared Responsibility

The Membership Rules are not simply a list of restrictions. They are there to help protect the facilities, our staff and, most importantly, the members and families who use Woodland Glade.

The Club expects members to treat staff and fellow members with respect and consideration. Abusive or offensive behaviour towards staff, members or guests may result in membership privileges being suspended pending review.

By being a member of Woodland Glade, members agree to comply with the rules that are in force.
